We are looking to hire an Administration Administrator for the European Asylum Support Office to be based in Malta. The position: The successful candidate will work on a secondment basis for the awarded contract for the Provision of Interim Services to the European Asylum Support Office (EASO). EASO is an EU Regulatory Agency headquartered in Malta whose mandate is to strengthen EU Member States’ practical cooperation on asylum, to support Member States whose asylum systems are under particular pressure and to enhance the implementation of the Common European Asylum System. Responsibilities: The successful candidate will be expected, amongst other, to perform some or all of the following tasks: Support in administrative, financial and procurement related tasks. Support procurement related workflows, e.g. conduct market research and perform pre-contract analysis, support the drafting of market prospections and technical specification/other procurement related documentation, support the launch and follow-up of procurement procedures, support the response to tenderer’s enquiries, or other related support activities, as necessary, ensuring compliance with the relevant legal basis and sound financial management principle. Support contract implementation (e.g. liaising with contractors, preparation of purchase orders and preparatory work for financial workflows, etc.). Contribute to the development and the correct application of the internal procurement and contract management procedures. Support in planning, monitoring and reporting of financial and procurement processes for ongoing projects, including development of tools and provision of relevant data. Provide regular analytical and statistical reports of provided services; address and proactively resolve challenges encountered, in cooperation with relevant team members. Perform tasks related to document management and archival of documents. Support with other general administration, horizontal, procurement and financial tasks. Perform any other related tasks upon request of the Head of Sector. Requirements Minimum qualification: Completed university studies of at least three years attested by a diploma. Minimum experience: Minimum 1 year of appropriate professional experience in an administrative function or equivalent Experience in public procurement is an advantage Proficiency in written and spoken English Proficiency in written and spoken Spanish is highly recommended Ability to work in a proactive and organized manner, within an international environment and as a part of a team. Remuneration: The position falls in hierarchical Category IV and the associated salary is €38,985.12 gross annually in twelve monthly installments.
